Frequently asked questions

Answers to the questions people ask most.

  • How do I get offered shifts?

Keep your availability and your passport up to date. When a store posts a shift, Looper checks it against everyone in the network and puts the ones that fit on your dashboard under "Matched to you". A store can also invite you to a shift directly, and those appear at the top with an offer waiting.

  • Why am I not seeing any shifts?

Usually one of these: your account is still waiting to be verified by your employer; you have not added any availability; the roles you have ticked on your passport do not include the role the shift needs; the shift is further away than your travel radius; you already have a shift at that time; or the store is paying less than your minimum rate. Widening your availability or radius is the quickest fix.

  • What does the rate mean, and when do I get paid?

On an extra shift, the rate is the hourly amount the store is offering, before any deductions. Rota shifts use the pay rate your manager has set for you. Once you are confirmed, the agreed rate and hours are fixed on the shift and shown on its page. Looper records what was agreed and worked; your pay itself comes through your employer as usual, so ask your manager about pay dates.

  • Can I say no? Does turning shifts down count against me?

Yes, and no. You can ignore a match, hide it, or decline an offer, and none of that affects your reliability score. What does affect it is cancelling a shift you have already accepted, and not turning up to one.

  • How do I withdraw if something comes up?

Before you are confirmed, withdraw your application from the shift page. After you are confirmed, use "Stand down" on the shift page, as long as the shift is at least 48 hours away. Inside 48 hours you cannot drop it yourself: message the store, and they can release you. Cancelling with less than 24 hours’ notice counts against your reliability score.

  • What happens if I am late or cannot make it?

Message the store as soon as you know, using the chat on the shift. If you have not arrived 10 minutes after the start, the store can record a no-show, which counts against your reliability score more heavily than a cancellation does.

  • Who do I talk to on the day?

The store that posted the shift. Every shift has its own conversation, which you can open from the shift page or from Messages, and the store’s managers see it straight away.

  • Who can see my ratings?

Nobody sees an individual rating. After each shift the store rates you and you rate the store, and those scores only ever appear as an overall average. You can see your own average on your dashboard.

  • How do I set where I will travel to, and how far?

On your passport. Type your postcode, or use your phone’s location, and set your travel radius in miles. Looper only keeps the area you are in, never your full address, and you will not be matched to shifts further away than your radius.

  • What is the difference between rota and extra shifts?

Rota shifts are your own store’s regular weekly shifts, from its rota. Extra shifts are the ones posted to the network that Looper matches you to. Everywhere in Looper, rota is blue and extra is violet. Rota shifts are paid at the pay rate your manager sets for you and are not rated; extra shifts can have their rate negotiated and are rated afterwards. Both count toward your reliability.

  • How do I accept my rota?

When your manager publishes the week you get one alert, and your shifts appear on your dashboard under "Your rota". Accept them one at a time or all at once. If you cannot do one, press "Can’t do it" and say why — your manager is told and will find cover. Open shifts on your store’s rota are listed there too: the first person from the team to take one gets it.

  • How do I clock in and out?

From 30 minutes before a shift starts, a "Clock in" button appears at the top of your dashboard and on the shift’s page. Press "Clock out" when you finish. When you confirm your hours afterwards, the times you clocked are filled in for you, and you can change them if you forgot to press. If your employer has the location check on, your phone asks to share its location when you press, only at that moment; the store can see roughly how far away you were, in miles (or yards when close).

  • What if I work past my rota hours?

Once the hours are confirmed, the extra time is flagged to your store, and they agree it or not. Agreed extra time shows on your timesheet as extra hours; if they do not agree it, you are told why. Extra shifts are different: they pay the hours both sides confirmed.

  • Where is my timesheet?

Under More, then Timesheet. It lists your rota and extra shifts for the week or month you pick, with the scheduled and actual hours, breaks, any extra hours, and what each shift pays before deductions. You can download it as a spreadsheet.

  • How do I clock in at the store tablet?

Tap in your 6-digit PIN, which is on My account in Looper (press Show my PIN). Clock in is at the top, then your shifts for the next 7 days, the store tasks and your own tasks: press Clock in, Start break and End break as you go, and Clock out at the end. Messages, at the top, shows your conversations (you can reply) and recent broadcasts. The tablet signs you out by itself after 30 seconds of nobody touching it (60 seconds on Messages), so nobody can use it as you. If you are working but are not on the rota, start an unscheduled shift there and your manager approves it. You still confirm your hours afterwards in Looper, starting from the tablet's times.

  • I forgot my PIN, or think someone else knows it

Your PIN is always on My account in Looper. If someone else might know it, press Get a new PIN there and the old one stops working straight away. Head office can also send you a new one. Five wrong PINs in a row pause the tablet for a few minutes.

  • How do I swap a shift, or give one away?

Open the shift in My shifts and press Trade this shift. To give it away, tick one or more teammates (the list starts on people with the same role, and you can narrow it by skills); the first to accept takes it forward. To swap, pick one teammate and one of their shifts. Nothing moves until your store manager, franchisee or head office approves it, and you are told at each step. Rota shifts only, before they start.

  • How do I message my managers?

Messages, then Direct, then Message your managers. Pick which of your home store’s managers to include. Only the people in a conversation can read it. Messages about a particular shift stay on that shift.

  • Can I tidy up my messages?

Yes. In each tab, conversations from the last 14 days and anything unread come first; the rest are under Older. Press Archive on any of them to hide it from your list, and find it again under Archived, with Move back. Archiving only changes your own list, and a new message brings it straight back.

  • Where are my tasks?

Under More, then Task list (if your store has it). Your tasks are split into Daily, Weekly and Just once. Tick each one off when it is done, and add a note if something needs saying; whoever set it is told. Daily and weekly tasks stay on your To do list, shown as done for today (or this week), and come back unticked the next day (or week). Store tasks, for the whole store, are in their own section at the top.

  • What are store tasks?

Jobs the store needs done, whoever does them, like opening and closing checks. On a day you have a shift at a store, its store tasks show at the top of your Task list, on your dashboard and on the store tablet. The first person to tick one off completes it for everyone, and Looper records who did it and when. If you ticked one by mistake you can untick it the same day; a manager can untick any. If nobody ticks one by its due time, the store’s managers are told.

  • Is there a user guide?

Yes: More, then User guide. It shows how Looper works for you, and you can print it or save it as a PDF.

  • Why can’t I apply for a shift at another store?

Either that store keeps its extra shifts to its own team, or your home store keeps its team to its own extra shifts. Ask your manager if you think it’s wrong.
